Internal or Interdepartmental Mail
Internal mail consists of correspondence within the Johns Hopkins Institutions.
Please use internal or interdepartmental envelopes for mail to JHMI
personnel. We have made many improvements in the interdepartmental mail
system, reducing delivery time. To further improve timely and accurate
delivery, internal mail must have the recipient's full name, department,
building, and room number.
Addressing
Interdepartmental Envelopes
Please use interdepartmental envelopes for internal mailings only.
Interdepartmental envelopes can be used for on or off-site JHMI locations.
Make sure that all previous addresses have been crossed off the envelope.
Here is a list of locations served on a daily basis.
Internal Parcels
Addressing internal parcels or packages correctly is just as important
as envelopes. Please use the recipient's full name, department, building,
and room number for mailing parcels. Parcels receive the same priority
treatment as envelopes.
Change of Address
Should your internal location change, it is extremely important to notify
the Mail Center before moving. When you learn of your new location,
send a JHMI change of address form (available from the Mail Center)
or a brief note to the Mail Services customer services representative.
You can also use the online version of the change
of address form on this website. Indicate the person's name, old
and new internal mailing location, date of the move, and the telephone
extension.
Enclosures
Multiple Page Items
Multiple page memos, letters, magazines, books, reprints, etc. should
be inserted in interdepartmental envelopes to ease handling.
Non-Mailable Items
Items such as metal pieces, glass parts, product samples, chemicals,
etc., cannot be mailed in envelopes. They require special packaging
before mailing. We will be happy to assist you with the appropriate
way to handle your special packaging needs.
Envelopes
Size and Strength
The appropriate size and strength of an envelope for your mail is determined
by the contents. Please ensure you have selected an appropriate envelope
for your materials:
- The size should properly fit the insert(s). Oversized envelopes
will not hold the contents firmly in place. A snug fit keeps the enclosure
secure in the envelope, providing for effective mail handling. Conversely,
when an envelope is overstuffed it can burst or become mutilated during
handling and delivery (the result can be a total loss).
- The envelope should be strong enough to withstand the weight and
size of its contents.
